AI Assistant Transforms Data Retrieval and Boosts Efficiency

Large international organizations carry out numerous activities, engage in various spheres, work with many different documentation, and with an enormous amount of diverse data.

The client's request was to create an intelligent tool that would allow employees in the organization to search for necessary information in many documents and documentation quickly.

We developed an intelligent chatbot that has access to complex internal documents about the company's projects - including the project's idea, all detailed information, approval details, project documentation, and project results. It can answer all questions regarding the information from these documents, extract structured data from them, and verify their accuracy. The chatbot is also capable of generating a simple report summarizing all relevant information for the employee it interacts with.

An employee (as the user) opens the AI chatbot and asks a question. The chatbot then refines the task, verifying if it correctly "understood" the employee's request. Once the employee confirms the refinement, the chatbot begins to sift through all the data and creates a direct message for the employee with the sought-after answer.

In the first phase, we designed the entire system (proof-of-concept) —how it would function, its appearance, and the complete algorithm for its "behavior." Next, we integrated the chatbot with the organization's internal management system, where all information and documentation are stored. In the third phase, we fine-tuned the entire chatbot, improved its responses, and refined the reports, among other things.

This AI solution for the organization significantly speeds up the time required to obtain information. If a single person were to search for information within that volume of documents, verify it, and compile a report, it would take several months. Our developed chatbot accomplishes this in just a few minutes, which represents a massive difference and a huge boost in efficiency for the organization.

Additionally, access to an enormous amount of data has been greatly simplified, making it easier for employees to retrieve and utilize the information they need. This improvement has also enhanced the overall management and processing of complex data, leading to more efficient and streamlined workflows within the organization.
